Your data, handled carefully.

This page explains what CapLab collects when you use the assessment, why, how long we keep it, and how you can ask us to delete it. Last updated: September 2026.

1. Who we are

CapLab is a platform operated by Complexia. For data protection purposes, Complexia is the "data controller" for information collected through this site. Questions or requests can be sent to contact.caplab@complexia.net.

2. What we collect

When you take the free assessment and unlock your report, we collect:

  • Contact details: your name, email address, organization name, role, organization size, and country.
  • Assessment results: your scores across the ten capacity dimensions and your responses to the evidence checklist.
  • Preferences: whether you'd like to hear about Complexia's support services.

We do not collect payment details, government identifiers, or any special category of data (health, biometric, religious or similar) through this site.

3. Why we collect it

  • To generate your report — your answers are the direct input to your personalized diagnostic.
  • To follow up — if you ask to hear about our services, or to answer questions you send us.
  • For research and benchmarking — in anonymized or aggregated form, to understand capacity trends across sectors, regions and organization sizes, and to improve the assessment itself. Aggregated findings may be published; you and your organization are never identified in them.

4. Legal basis

We process your data on the basis of your consent, given via the checkbox on the assessment form, and our legitimate interest in operating and improving CapLab. You can withdraw consent at any time by contacting us; this does not affect the report already generated for you.

5. Where it's stored

Your data is stored using reputable third-party infrastructure providers (such as Google, Supabase or equivalent database and hosting services), each bound by their own data protection commitments. We do not sell your data to third parties, and we do not share it with anyone outside Complexia except the infrastructure providers needed to operate the platform.

6. How long we keep it

We retain individual, identifiable records for up to 3 years from your last assessment, after which they are deleted or fully anonymized. Anonymized, aggregated statistics may be retained indefinitely for research purposes, as they no longer identify you or your organization.

7. Your rights

Depending on where you are based, you may have the right to access, correct, export, or delete your data, or to object to its processing. To exercise any of these rights, email contact.caplab@complexia.net — we will respond and act within a reasonable timeframe, generally within 30 days.

8. International use

CapLab is used by organizations worldwide. We aim to handle all data in line with the EU General Data Protection Regulation (GDPR) as our baseline standard, which meets or exceeds most national and regional data protection frameworks.

9. Changes to this policy

We may update this policy as CapLab evolves. Material changes will be reflected by updating the date at the top of this page.
